𝐉𝐨𝐛 𝐃𝐞𝐬𝐜𝐫𝐢𝐩𝐭𝐢𝐨𝐧:
Emirates Talent Solution is seeking a highly organized and efficient Executive Secretary to join our team in the United Arab Emirates.

This full-time position involves providing comprehensive administrative support to our executive team, including managing schedules, arranging meetings and travel itineraries, preparing reports and correspondence, handling communications, and maintaining filing systems.

Responsibility

• Manage and maintain executive schedules, including arranging meetings, appointments, and travel itineraries.
• Prepare and organize reports, memos, and correspondence. Handle incoming and outgoing communications, including emails, phone calls, and mail.
• Organize and coordinate meetings, including preparing agendas, distributing meeting materials, and taking minutes.
• Ensure meeting logistics are in place, such as booking conference rooms and arranging necessary equipment.
• Maintain and update filing systems, both electronic and physical. Ensure all documents are accurately filed and easily accessible.
• Monitor and order office supplies as needed.
• Liaise with office vendors and service providers to ensure smooth operations.
• Act as a point of contact between executives and internal/external stakeholders.
• Relay information and messages promptly and accurately.
• Coordinate communication flow between different departments.
• Provide support on various projects and initiatives undertaken by the executive team.
• Conduct research and gather information as needed.
• Assist in the preparation of presentations and reports.
• Arrange travel accommodations, including flights, hotels, and transportation for executives.
• Prepare detailed travel itineraries and ensure all travel documents are in order.
• Handle expense reports and reimbursements related to travel.

Qualifications

• Bachelor’s degree in Business Administration, Office Management, or a related field preferred; high school diploma or equivalent required.
• Minimum of 3-5 years of experience as an executive secretary or administrative assistant, with experience supporting senior executives highly desirable.
• Excellent organizational and time-management skills, with the ability to handle multiple tasks and prioritize effectively.
• Strong written and verbal communication skills, with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Discretion and confidentiality in handling sensitive information.
• Strong interpersonal skills and the ability to work well with others, maintaining a professional demeanor and appearance.
• Fluency in English; proficiency in Arabic is a plus, along with familiarity with office management systems and procedures.
