Catering Coordinator

We are a leading catering company known for our dedication to culinary excellence and exceptional customer service. We specialize in crafting memorable dining experiences for a variety of occasions, from corporate meetings to weddings and special celebrations. As we continue to expand our operations, we are looking for a dynamic and organized individual to join our team as a Catering Coordinator.

Responsibilities:
Act as the primary point of contact for customers seeking catering services, answering inquiries, and providing information about menu options, prices and availability.
Collaborate with clients to understand their event requirements, preferences and dietary restrictions, and recommend custom menus and services tailored to their needs.
Coordinate all aspects of catering events, including menu planning, venue selection, equipment rental, staffing and logistics, to ensure smooth execution and customer satisfaction.
Prepare detailed event proposals, contracts and invoices, and obtain client approvals of menu selections, prices, terms and conditions.
Communicate effectively with internal teams, including chefs, kitchen staff and event staff, to ensure all aspects of the event are coordinated and executed according to client specifications and company standards.
Maintain accurate records of customer communications, event details, orders and payments using catering software or customer relationship management (CRM) systems.
Conduct site visits and inspections of event venues to evaluate facilities, equipment, layout options and address any logistical or operational considerations.
Assist with marketing and promotional activities to attract potential customers, attract new customers and promote the company’s catering services through online channels, social media and networking events.
Monitor event budgets, expenses and profitability, and provide regular updates to management on financial performance and business metrics.
Stay on top of industry trends, emerging technologies, best practices in catering and event management, and identify opportunities for innovation and improvement.

Requirements:
Bachelor’s degree in Hospitality Management, Event Planning, Culinary Arts, or related field preferred.
Proven experience in catering coordination, event planning, or hospitality management, with a proven track record of organizing successful events and providing exceptional customer service.
Excellent communication and interpersonal skills, with the ability to build rapport with customers, vendors, and team members and convey information and ideas effectively.
Strong organizational and time management abilities to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
Proficient in using catering software, event management tools, and Microsoft Office Suite (Word, Excel, Outlook) to create proposals, contracts, and event schedules.
Creative flair and attention to detail in menu design, presentations and event decor to enhance the overall guest experience.
Flexibility to work evenings, weekends, and holidays as needed to accommodate client schedules and event schedules.
Knowledge of food safety regulations, licensing requirements, and industry standards for food service operations.
A passion for food, hospitality and creating memorable experiences for customers and guests.
